The participation phase consists of giving feedback to people either as a peer or as a manager.
In Nailted there are two different scenarios when it comes to configuring who gives feedback to whom:
-
100% by administrators: Where administrators, by deactivating the nomination phase, are the ones who decide who gives feedback to whom.
-
Delegating this job to managers: Where by activating the nomination phase you delegate this job to managers.
During campaign configuration, regardless of the setup method used to assign who gives feedback to whom, the participation phase starts. This means that the evaluation is sent to all participants to start collecting feedback.
During the review set up process, administrators have set up how long this phase will last.
💡Administrators have full control over the review and can extend the duration of the phase when in automatic mode or stay in this phase for as long as they want when in manual mode.
What happens when the participation process starts?
Once the participation phase has started, the below process will begin:
-
Participants will receive a notification through email or slack to access the review.
-
Participants can access to complete the assessments of other peers from the notification link itself or by going directly to my.nailted, where they will see a block on their dashboard with the pending actions of the assessment to be completed.
-
They see the title and the review description that has been added during the review set up.
💡A good practice is to add a document explaining how the process will be, what is expected of the participants, some frequently asked questions, etc.
-
Participants start to fill in the review. It can be done at different times as it is possible to save and continue later on.
⚠️ It is only possible to edit your answers if the calibration phase hasn’t started. If the calibration has already started and it is crucial to change your answers, an administrator can allow this manually.
-
During this phase, Administrators will be able to monitor the progress and content of each person’s participation from the campaign dashboard. This will allow them to make manual reminders if necessary, although Nailted sends automatic reminders to people who have pending actions in the campaign.
-
Managers will be able to see the progress of their team members' participation from their dashboard on my.nailted.
-
If the campaign is configured as manual, administrators can determine when it is time to move to the next phase by clicking on the top right button of the screen, you can go to the calibration phase, the results delivery or finish the campaign phase depending on the configuration of the campaign.
If the campaign is configured in automatic mode, people, once they have received the minimum number of reviews required, will automatically move to the next phase. If they do not receive this minimum number of reviews, they will remain in this phase until they receive them or administrators decide to manually move the person to the next phase. There are a number of criteria for people to move from phase to phase automatically related to the set number of people giving feedback and the duration set for the phase. Learn more about the criteria applied here.
